How do refunds or credits issued in an HOA portal appear in QuickBooks Online?
Credits and refunds from your HOA portal should be entered in QuickBooks as credit memos or refund receipts. HOALife sends these adjustments as separate entries.
Handling credits and refunds
When a resident receives a credit or refund through HOALife, you should reflect it in QuickBooks. Use a credit memo for a future offset against dues or a refund receipt if money is actually returned. HOALife exports credits and refunds as separate transactions so you can apply them correctly.
Steps
- Export adjustments: Generate a report of credits and refunds from HOALife.
- Create transactions: In QuickBooks, choose Credit Memo or Refund Receipt and enter the resident details.
- Apply credits: When the resident is billed next, apply the credit memo to reduce the invoice.
Why it matters
Properly recording credits ensures your books remain accurate and homeowners receive the correct account balance.
